Case study

One of our clients called us one day saying “enough is enough”. He bought another batch of 10,000 claims, and again, the operators sat by the printer for days. They loaded 500 A4 sheets of paper, changed the toner and cleared a few paper jams. The envelope machine broke down and the operators were enveloping for days.

Our client asked us to find a way to solve this problem, as only a printing company could produce such a large number of assignment notices quickly and reliably.

In response to this need, the Indecs “Bulk mail generation and bulk mail printing with an external provider” feature was born. Today, if you need to mail a really large volume of mail, we recommend using this module most of the time.

One of Indecs’ strongest features for document management is the Bulk mailing with external service provider project.

In some cases, in addition to the normal method of sending mail printed locally and then post, our partners were looking for a way to send large volumes of mail at the same time, which was not printed by them.

In this case, our partners want to use an external service provider to solve the problem, and our software has been developed to meet this need.

It soon became clear that most of the service providers were producing large volumes of mail based on the same so-called xml templates.

Bulk mailing with an external service provider was built in to letters based on templates.

In this case, Indecs’ Group Action Executor is indispensable in performing this task, as these bulk mailings, generated at the same time, are – crucially – based on the same form letter template.

A feature has been added to the Group Action Executor’s message generator (the same as for normal message generation) to select the type of the so-called “External Letter” message exchange when generating the message, which is the letter generated to the external service provider.

Messages generated in this way are created using pre-defined form letters that have been previously approved by the external service provider.

The .xml format of the message exchanges, based on the agreed form letters, are then uploaded to the hosting provider’s repository via an SFTP connection.

The user only sees in the interface that a document has been created and forwarded to the external service provider.

When the service provider has completed the letters and sent them out, both the pdf image of the completed letters and their corresponding identifiers (RL number) are uploaded back by Indecs to the corresponding claim case’s corresponding message exchange.This allows the users to see exactly the content and other characteristics of the letters sent in their transactions.

Based on the above, it has been realized that Indecs generates and manages both traditionally generated and printed message exchanges as well as those posted by external service providers with uniformly perfect and consistent results.
